Implementation

Learnsmarter is designed to be highly flexible and modifiable using standard Salesforce tools and without writing any code. You can add fields, change page layouts, change wizards and even use Learnsmarter created flows as templates when creating flows for your own use cases – particularly in Salesforce Experience Cloud. If you really want to, you can use code, triggers and even create your own Lightning Web Components to work with Learnsmarter. 

Learnsmarter is a native Salesforce app. Which means that your data is in Salesforce and can be reported on using the same tools such as Reports and Dashboards that you use to report on all information within Salesforce. 

Learnsmarter typically recommends that you use Salesforce Flow to send emails, although you can also use other tools if these are available in your org such as Salesforce Marketing Cloud. Emails can be sent when a record is created, when specific data changes, or on a timed schedule. This means that you can create emails for all the standard learning communications such as registration confirmations, joining instructions, reminders, congratulatory messages on completion and so on. If you have access to other messaging tools within your Salesforce environment such as SMS or Slack, then you can also use Flow to send notifications through these channels. 

Learnsmarter can be integrated with Salesforce Surveys to automatically send surveys on, for example, the completion of a course. If you have other AppExchange survey tools available in your Salesforce org, then it is likely that you will also be able to use these to send out surveys when data is changed or created in Learnsmarter objects. 

Learnsmarter is a native Salesforce app. That means that API tools Salesforce provides to work with your existing data in standard and custom objects can also be used to access data in Learnsmarter standard objects? 

Salesforce Mobile Publisher can be used to publish Experience Cloud sites and make these available on the Apple App Store and on Google Play. Learnsmarter can (and typically will be) shared with your learners in a Salesforce Experience Cloud site which will work with Salesforce Mobile Publisher.

Learnsmarter Experience Cloud and Flow components are designed and in some cases optimized specifically to be used on mobile devices. Some components such as list views don’t tend to work well on mobile devices so we recommend that you design your community pages to use Tile views when returning lists of results. 

Yes. But, every user who uses any Learnsmarter objects, data or components will need a Learnsmarter license. 

Learnsmarter recommends that the apps are installed with permissions for System Administrators only and that all other access is provided using Permission Sets. Learnsmarter provides permission sets, but typically customers will create specific permission sets for specific roles and especially for external users. 

Nearly all Learnsmarter Flows are designed to be overwritable, or used as templates. It is possible to change nearly every Wizard by adding fields or even adding additional steps. Note that if you overwrite any standard flows, this may have impacts when Learnsmarter upgrades are released. It is strongly recommended that you carefully and thoroughly document all changes that you make so that this information can be used if you wish to take advantage of new features that might become available after an upgrade that are not included in your override flows. 

Yes. Learnsmarter are very happy to work with Salesforce partners to implement Learnsmarter into customer orgs. There are a few limited services that it makes sense for Learnsmarter to provide, but the vast majority of implementation tasks can be delivered using a partner.

You can use standard Salesforce translation functionality to translate Learnsmarter into Salesforce supported languages. Please contact us to confirm any specific requirements. 

Yes.

This depends on the specific license you are using. Customer Community Plus and Partner Community users can view dashboards. These will be filtered depending on your sharing settings, so that customers are only able to see information about their own organizations.

Yes. You do need to be careful that any validation rules don’t impact updates.  

The primary tools are Salesforce sharing and permission settings. This is complimented by Learnsmarter’s own tools. It is possible to filter search results so that different learners see different results depending on their relationship to the data being searched. 

All Learnsmarter data is held in custom objects within your Salesforce instance. This can be backed up using either the standard Salesforce weekly data export function, or by using a third party AppExchange tool. 

Learnsmarter can be integrated with other AppExchange apps. As a native Salesforce App, data in Learnsmarter objects can be accessed in the same way that data in any other custom object in Salesforce can be accessed. If the AppExchange app works with custom objects then it is highly likely that it will also work with data in Learnsmarter objects, but if you are unsure about this you should contact the app vendor to confirm what the capabilities of the app are and whether these support your required use cases. 

Learning

No. All Learnsmarter functionality can work within the Lightning Experience. However, we recommend that all learners access Learnsmarter through an Experience Cloud site. This gives you far greater flexibility and control and delivers a better learning experience to your learners. 

Learnsmarter supports numerous content types. This includes Rich Text, Video, PDF, Audio, external websites, Salesforce Knowledge articles (requires configuration), external exams, Trailhead, myTrailhead, quizzes, and SCORM/AICC (requires purchase of the Learnsmarter SCORM Extension add-on). 

Absolutely. You can combine any content based learning with live instructor-led virtual or in person courses. This is managed using programs which can be sequenced so that learners must complete items in order. Programs can contain sub-programs so you can group content together into sub-sections to make it easier for learners to approach and complete numerous elements. 

Learnsmarter is not exactly the same as myTrailhead, but you can easily build simple, bite-sized learning content and combine this with quizzes to confirm understanding. 

Yes. Learnsmarter enables you to launch live quizzes during an instructor-led training event. 

If you purchase the Learnsmarter SCORM extension package, then you can use SCORM and AICC courses within Learnsmarter. 

No. The SCORM Course is delivered within the Experience Cloud page and the experience is very similar (pretty much indistinguishable to the learner) to playing back other types of content. 

No. We have customers who combine multiple simple content items into a program containing text, video and quizzes and find that this easily meets their needs. 

Yes. This depends how the learning is configured, but with the correct settings programs, courses and self-paced learning can all be repeated. Some learning cannot be repeated such as Trailhead and myTrailhead modules. 

It is possible to allow waiting registrations to be created. Different customers will have different requirements on how to deal with waiting registrations if places become available, but the flexibility of Learnsmarter combined with the tools of the Salesforce platform means that customers can build out specific functionality here if required. 

An in-house course is a course that is delivered exclusively to a specific customer. Learnsmarter has functionality that enables in-house courses to be managed.

Yes. Points can be assigned to all learning delivered and these can be summarized using standard Salesforce reports, dashboards and Flows. 

Yes. Learnsmarter has a Learning Record Store. This can be used to record and report on all types of learning done in Learnsmarter and learning done elsewhere. Learners can submit information on self-directed learning they have done, or you can import data from other learning record sources. 

Yes. Learnsmarter has a tax manager that can be configured to manage highly complex tax jurisdictions. Canada is the most complex one we have come across and the tax manager has proven its ability to work nationally across the country. 

Yes. Learnsmarter has a specific discussion post function that can be used for chat forums for multiple use cases. 

An assessment is used when you need learners to provide evidence of something that they can do. This could be simply uploading a document, such as a picture of a driving license, or it could be a video demonstrating their level of expertise for a particular skill. Assessments are a two or three way interaction between a learner and an assessor, or a learner, an assessor and an approver. Evidence is submitted, reviewed and approved or rejected. 

Yes. Learnsmarter manages clashes for participants, trainers, rooms and resources. 

Yes. Learnsmarter supports the delivery of learning across multiple time zones. 

Salesforce Org

Learnsmarter is an AppExchange managed package that has passed Salesforce Security Review. Learnsmarter custom objects do not count towards your org’s object limits. 

Learnsmarter works with Salesforce Enterprise and above. 

Every Learnsmarter user needs a Salesforce license of some kind. For internal users this can be a full Sales or Service Cloud license, or a Platform license. Learnsmarter will also work with a Salesforce Company Community license. External users can use Customer Community, Customer Community Plus, or Partner Community licenses. These external licenses can either be for named users, or logins per month users. 

If your use case is for internal users, then there is no need to purchase any Experience Cloud licenses of any type. However, every internal user must have a valid Salesforce license. 

Yes. Learnsmarter is built for the Lightning User Experience and for Lightning Communities. 

No.

Security

Learnsmarter is a native Salesforce application. All objects and data are stored within your Salesforce instance. The only exception to this is if you use the Learnsmarter SCORM Extension. 

SCORM Courses are uploaded to an external service. The SCORM player interacts with this external service and data on SCORM Course registrations is created and updated in this external service. No personally identifying information is passed out of Salesforce or stored on this external service. 

Learnsmarter should be configured to connect to the external service using OAUTH 2.0. No data in any object in Salesforce (including Learnsmarter objects) is updated by the external service. In all cases Learnsmarter retrieves data directly from the service using a secure OAUTH 2.0 connection and all updates are performed by Learnsmarter in the Salesforce environment. 

Support

Learnsmarter is very easy to use, especially if you already know and use Salesforce, because Learnsmarter works in the same way. Customer admin level users are provided with access to the Learnsmarter support community and this provides access to a library of content created and delivered using Learnsmarter. There is also a Knowledgebase. In addition, virtual live training sessions can be provided to customers (paid) based on requirements. On-site live training (paid) can also be provided if required. 

Learnsmarter aims to have three major releases per year. Customers do not automatically get updated when a new release is available, because this could impact changes in your org. Customers are therefore updated post release by working in coordination with your customer account manager. 

Yes. Support is available to all Learnsmarter customers at no extra cost. Support covers all standard Learnsmarter functionality.
